Talent Acquisition Coordinator
Roles & Responsibilities
The Talent Acquisition Coordinator supports the Talent Acquisition team in the coordination and administration of recruitment activities. The role provides an efficient and positive experience to candidates, hiring managers, and internal stakeholders while ensuring recruitment activities and records are completed accurately and in a timely manner. This will be a Hybrid role.
Job Specific Skills
- Provide high-quality service to internal and external customers. Able to remain positive and professional in challenging situations.
- Supports the Talent Acquisition team with the coordination and administration of recruitment activities.
- Gains understanding of the Talent Acquisition process and how recruitment activities progress from requisition through onboarding. May require guidance from more senior team members.
- Supports the Talent Acquisition team with candidate coordination, including scheduling interviews, communicating next steps, coordinating assessments, and following up on outstanding actions.
- Gains understanding of the Applicant Tracking System and performs routine tasks to maintain accurate and complete candidate and position information. May require oversight from the Line Manager or Senior Team Member.
- Supports the preparation and maintenance of job postings across applicable job boards, internal career website, social media, and other recruitment platforms.
- Assists with reviewing candidate applications and resumes against basic position requirements and escalating questions or concerns to the appropriate Talent Acquisition team member.
- Supports candidate sourcing activities through job boards, LinkedIn, internal databases, referrals, and other approved recruitment channels.
- Maintains accurate recruitment records, candidate documentation, interview information, and other position-specific activities.
- Supports the Talent Acquisition team with the preparation and coordination of HR screening interviews and management interviews. May participate in candidate communication and coordination as required.
- Supports the preparation and coordination of candidate assessments and ensures completed assessments and relevant documentation are recorded appropriately.
- Supports recruitment-related pre-employment activities, including reference checks, background checks, right-to-work requirements, and other regional requirements as directed.
- Supports the Talent Acquisition team with offer preparation and onboarding coordination, ensuring required information is collected and communicated accurately.
- Has a basic familiarity with the MMS Employee Benefits program and is able to direct candidate and employee inquiries to the appropriate HR or Talent Acquisition team member.
- Has a basic understanding of applicable Employment Law and recruitment requirements, particularly as they relate to candidate selection and recruitment administration. Escalates questions or concerns to the appropriate HR or Talent Acquisition team member.
- Has a basic level of proficiency with MS Office Applications, including Word, Excel, PowerPoint, Outlook, and Teams.
- Gains well-rounded organizational skills and effectively manages multiple routine tasks and deadlines. Seeks advice from the Line Manager or Senior Team Member as necessary.
- Maintains confidentiality when handling candidate, colleague, and company information.
- Supports the Human Resources team with recruitment reporting, tracking, and other administrative activities as required.
- Identifies routine process or administrative issues and brings them to the attention of the appropriate Talent Acquisition team member or Line Manager.
- Start to lead HR Screens, to assist in the US and UK.
Job requirements
Minimum Education / Experience / Training / Skills
- College graduate in Human Resources, Business Administration, Psychology, or related field preferred, or equivalent relevant experience.
- 0–2 years of experience in Talent Acquisition, Human Resources, Recruitment, Administration, or a similar field preferred.
- Basic understanding of scientific principles and concepts preferred.
- Interest in the pharmaceutical, clinical research, medical device, CRO, or related life sciences industry preferred.
- Proficiency with MS Office applications, including Word, Excel, PowerPoint, Outlook, and Teams.
- Strong organizational and administrative skills is essential.
- Good verbal and written communication skills and willingness to work with others to clearly understand needs and provide appropriate support.
- Strong attention to detail and ability to maintain accurate records.
- Ability to manage multiple routine tasks and prioritize work effectively.
- Ability to maintain confidentiality and handle sensitive candidate and company information appropriately.
- Ability and willingness to learn Talent Acquisition processes, systems, and applicable regional requirements.
- Basic understanding of Human Resources and recruitment practices preferred.
- Familiarity with Applicant Tracking Systems or recruitment platforms preferred.
- Familiarity with clinical trials, pharmaceutical development, medical devices, or CROs is advantageous but not required.
- Ability to work effectively as part of a global and culturally diverse team.
