Project Management Associate

Project Management

  • Provide support to cross-functional teams including project management on assigned projects (may include meeting scheduling, creating agendas, minutes, etc.)
  • Complete project setup steps as requested by Project Managers
  • Serve as subject matter expert on process workflows including providing training on systems during colleague orientation
  • Run weekly and monthly metrics and resourcing reports for project and resource planning as established by business lines
  • Responsible for project archival upon project completion
  • Maintain a working knowledge of regulations and guidance as they pertain to regulatory documents
  • Will serve as primary point of contact for client on projects with limited scope included QC projects or projects limited to one service area (as identified by Director PAM)
  • Maintain a solution-focused mind set when challenges arise on a project identifying opportunities for improvement and making constructive suggestions for change
  • Ensure project management documents are complete, current, and stored according to procedure
  • Review project hours against estimates
  • Will escalate issues regarding project variance to senior staff/mentor
  • Will assist in reviewing project budget on routine basis
  • May participate in the review of project invoices
  • Identify potential out of scope work and notifies senior staff/ mentor
  • Will provide input to senior staff/ mentor at project close for preparation of analysis of project budget and operational variance
  • Communicate effectively with clients through email; May lead team meetings with support from senior staff/ mentor as needed
  • With input and support from senior staff/mentor, sets and manages client expectations
  • Seek opportunities to increase customer satisfaction and deepen client relationships
  • Seek to learn the client’s business, organization, and objectives as they pertain to larger drug program
  • With support from mentor/ senior staff, facilitate project kickoff meetings and periodic status meetings with internal/ external project team (as required per contract)
  • Keep project team informed of changes within the client organization or changes to project scope or requirements
  • Acknowledge and recognize team member’s contributions during the project and at project close according to company practice
  • Motivate team to work together in the most efficient manner
  • Possess general understanding of one or more core services areas, inputs, outputs and types of deliverables

Proposal and Contract Management

  • Assist in maintaining business proposals, contract amendments and initial contracts in MMS databases/ secure repository
  • Complete quality checks as per QC checklist; elevating deviations from standard costing, language to Director, Project and Acct Management.
  • Track and follow-up on pending proposals, contracts and amendments as needed
  • Maintain project tracking tools and project plans in collaboration with Project Management Staff

Requirements

  • Bachelor’s degree in science, health, or administrative area or related experience
  • Proficiency in MS Office applications
  • Detailed knowledge of one or more services areas
  • Excellent verbal & written communication skills are highly desired
  • Knowledge of ISO 9001:2008 requirements
